MINUTES of RIVERVIEW ESTATES II HOMEOWNERS ASSOCIATION BOARD of DIRECTORS MEETING – October 26, 2014
The meeting was called to order at approximately 3PM at the home of Tangie Ulrich.
The minutes from the previous meeting were not available.
Those in attendance were: Directors Tangie Ulrich, Steve Chantry and Steve Halstead
Purpose of the meeting was to: 1) review current & future actions requiring decisions of the Board, 2) discuss communications processes, 3) consider actions for delinquent accounts, 4) give Steve Halstead guidance for the seminar he will attend on Nov 7, and 5) review future plans.
Old Business:
Delinquent Dues Payments – Joanne Sharpe, Treasurer, is revising the dues letter to clarify the late payment process, making sure it is in line with guidance from our By-Laws.
Bulletin Board/Cabinet (adjacent to pavilion) – All members of the Board should have a key. Steve Halstead will get the current key(s) and have additional keys made for everyone.
Homeowners’ email and address project – The HOA web site has been modified to allow folks to enter their current email address. It is hoped that many Members will respond. The flyer have been printed and given to Vivek Maharaj as he has volunteered to be sure they are distributed to all homeowners.
Future newsletters and minutes are to be posted to the website. They also may be posted on the cabinet by the pavilion but this is not to replace posting on the HOA website.
New Business:
The annual dues letter to go out in January will include clear information concerning late fees and the adopted 2015 budget. Joanne is also working on a process to allow Members/homeowners to pay their dues electronically. It is hoped this process will make it easier for Members to pay and lead to fewer delinquent accounts.
The quotes for removal of the tree(s) overhanging the Common Area pathway have been received and Tangie will contact Powell Tree Service to tell them we have determined they should do the work and try to set a time for them to accomplish this.
Snow removal bids have been solicited. Steve Chantry is coordinating this process. He asked for suggestions of other bidders but has not received any additional names of potential providers. We hope to award this contract very soon.
Steve Halstead will attend the Community Associations Institute seminar for Board members of homeowner associations in Bethany Beach, DE on November 7. The other Directors asked Steve to bring back answeres about the following: a) how to change By-Laws, b) the process for obtaining proxy authorizations, c) how to handle delinquent dues and By-Law violations, and d) how to go about dissolving a homeowners association.
